This role involves setting up event spaces, coordinating logistics, managing inventory, and assisting with day-of activities to ensure everything runs smoothly. Volunteers will help refine event organization by identifying and addressing challenges in setup, scheduling, and overall coordination. By improving these processes, the initiative aims to create a more engaging and accessible campus environment for students, staff, and visitors. The obligations and responsibilities of this role will differ and shift based on open initiatives and events in need of support.
Students should complete at least 3-5 of the following by the end of the project:
- Event Planning Guide – A structured guide outlining best practices for planning and organizing campus events, including timelines, task lists, and key contacts.
- Event Setup & Logistics Plan – A checklist and system for setting up event spaces efficiently, including layouts, required materials, and inventory tracking.
- Promotional Strategy & Materials – A framework for promoting events through social media, posters, newsletters, and other outreach methods to maximize student engagement.
- Volunteer Coordination System – A structured plan for recruiting, training, and assigning volunteers to assist with event setup, management, and takedown.
- Day-of Event Execution Plan – A step-by-step guide for running events smoothly, covering responsibilities, troubleshooting common issues, and ensuring attendee engagement.
- Post-Event Evaluation Template – A feedback form and reporting structure to assess event success, gather insights from attendees, and suggest improvements for future initiatives.
- Inventory & Resource Management System – A method for tracking event materials, ensuring supplies are available, and preventing last-minute shortages.
- Campus Engagement Report – A final report summarizing event successes, challenges, and recommendations for improving future engagement initiatives.
Providing specialized, in-depth knowledge and general industry insights for a comprehensive understanding.
Sharing knowledge in specific technical skills, techniques, methodologies required for the project.
Providing access to necessary tools, software, and resources required for project completion.
Scheduled check-ins to discuss progress, address challenges, and provide feedback.
